Receptionist/Administrative Assistant

 

Basic Function:

The primary objective of this position is to answer busy phones, greet visitors, and maintain tidiness of common areas.  This position also involves preparing customer proposals and agreements, conference room scheduling and data entry.   

Kastle is looking for a hard-working, detail-oriented, articulate, professional Receptionist with first-class presentation in person and on the phone.

Accountabilities:

§         Serve as first point of contact for all visitors and clients on a daily basis

§         Maintain a pleasant, professional demeanor and phone manner at all times

§         Greet and direct visitors, forwarding inquiries to appropriate personnel

§         Maintain an orderly and professional front desk appearance

§         Exceptional communication skills and strong customer service skills

§         Demonstrate enthusiasm, initiative, teamwork and professionalism

§         Answer and direct incoming calls accurately and professionally

§         Open & sort incoming mail

§         Arrange for same day courier services and priority mailings via Federal Express

§         Respond to general administrative inquiries, including conference room reservation requests, type proposals, memoranda and letters for various department personnel

§         Manage tenant files for customer proposals and agreements

§         Trouble-shoot office equipment malfunctions and place service calls when necessary

§         Liaison to property management for facilities related issues

§         Update informational lists on internal website

§         Perform special projects as assigned by management
